The Colonnade Club offers eight guestrooms that can be reserved by Club members for themselves and their guests. Academic departments with Club membership may reserve the guestrooms on behalf of those engaged in academic activities at the University (e.g. conferences, lectures, job candidates). Each guestroom is handsomely furnished with historically accurate furniture installed during the 2001 renovation. To reserve overnight accommodations in the Colonnade Club, please call the office at (434) 243-9710.

Check-In Time is 3:30 PM. Rooms may not be available before that time.

Keys can be picked up at the Club office until 5:00 PM Monday through Friday. Guests arriving after hours (or the person making reservations for a guest) must either (1) make arrangements to pick up keys in advance or (2) retrieve their keys from the U.Va. Police Station/Welcome Center on Ivy Road. Please advise the office of your time of arrival so that we may have keys available at the appropriate location. Guests receive a set of two keys; one key opens the guest room, and the other opens the front (from the Lawn) and the lower level (from the parking lot, marked “Colonnade Club”) doors.

Parking is available in the small lot beside Pavilion VII (L-2 permit spaces only) and on McCormick Rd. in spaces marked "Guest Permit #1". To avoid parking citations or towing, guests with vehicles must request a parking permit when making their reservation. Click here for a parking map.

Room Service consists of normal cleaning and bed-making Monday through Saturday. Housekeeping hours are 8:00 AM–5:00 PM on weekdays and 8:00 AM–Noon on Saturdays. Housekeeping can provide guests with an iron and ironing board upon request. For your convenience, a hairdryer is provided in each room.

Security is everybody's business. Guests are expected to cooperate in keeping the entrance doors locked after hours.

Check-Out Time is 11:00 AM. This time must be strictly observed so that our housekeeping staff can prepare the room for our next guest. Guests who have not checked out by 11:00 a.m. will be charged for another night’s stay. Special arrangements may be made in advance by contacting the Club office.

Payment for accommodations may be made by cash, personal check, traveler's check, U.Va. department billing, or Visa/Mastercard. We do not accept American Express. Please fill out the Guest Room Check-Out Form enclosed with your keys and leave payment and keys in the room, using the envelope provided.

Local Phone Calls are free; you must use a calling card to make long-distance calls.

Ethernet & wireless Internet access are available in each guestroom; connect the blue Ethernet cable to your laptop and use provided PIN number to register your device on the University’s network.

Guestrooms do not have television sets. Guests are welcome to use the television in the Club Room, located in the lower level of Pavilion VII.

A rollaway bed is available upon request at a charge of $20 per night.


Food and Drink

Complimentary continental breakfast is available from 7:30-9:30 AM on weekdays and from 8:00-10:00 AM on Saturdays. On Sundays and holidays, breakfast is self-service from the pantry on the main floor (beside the elevator).

A refrigerator and ice machine are located in the pantry on the main floor.

A vending machine is located in the lower level of the building, next to the elevator.

The Colonnade Club Garden Room (243-8961) on the south end of the West Range, offers lunch service on weekdays during the academic year, from 11:30 a.m. to 2:00 p.m. The West Range Cafe, located beneath the Garden Room, offers a wide variety of Java City coffee and espresso beverages, Fresh Market Smoothies, pastries fresh from the UVA Bakery, salads, sandwiches, and a lunchtime grill menu. The Café is open Monday-Thursday from 8:00 a.m. to 6:00 p.m. and Friday from 8:00 a.m. to 3:00 p.m. Breakfast, lunch, and dinner are also available at the Newcomb Hall dining facility and at nearby restaurants on The Corner.


 
   
 
   
  Football, Family Weekend, and Graduation lottery coupons are mailed to all members in February. Please contact the office if you do not receive your lottery materials and you wish to enter.
   
 

Midweek (Sunday-Thursday) & Non-special event weekends
1. Reservations may be made 6 months in advance.
2. Reservations for midweek and non-special event weekends
are taken on a first-come, first-serve basis.
3. Members may reserve up to 6 rooms per night based on availability.
4. Once a date is sold out, the Colonnade Club office staff will establish a waitlist and will add names on a first-come, first-serve basis. In the event that rooms become available, we will contact members according to the order of the waitlist.

Special Event Dates

UVa Graduation
1. UVa Graduation will be handled through a lottery system.
2. A mandatory three-night minimum stay is required during graduation weekend (Friday, Saturday, Sunday). No exceptions.
3. There is a one-room limit per member.
4. The graduation lottery is open to the general membership and will be conducted as follows:

a. Requests to enter the lottery will be taken from the release of the lottery information through the deadline date set by the Colonnade Club business office.

b. The lottery for the following year's graduation will be conducted and the results announced on the first business day following the submission deadline.
c. Those members who enter the lottery but are not selected for a room will be placed on a waiting list in the order they were chosen.
d. Please read the section on Cancellation Policies.

UVa Football Weekends & Family Weekend
1. UVa football weekend and Family Weekend reservations will be handled through a lottery system. All fall weekends (September, October, November) are placed on hold until the football schedule is confirmed at the end of February. Room requests for fall weekends made prior to the release of the football schedule will be placed on a waitlist. Once the schedule is confirmed, non-football weekends will be booked according to the order of the waitlist. Any waitlist established for a weekend in which a game is scheduled will be released and those members will be automatically entered into the football lottery.
2. There is a one-room limit per member, per weekend.
3. There is a two-night minimum stay on football weekends and during Family Weekend (Friday, Saturday).
4. The lottery is open to the general membership and will be conducted as follows:

a. A separate lottery will be held for each football weekend and for Family Weekend.
b. Requests to enter the football weekend and Family Weekend lotteries will be taken from the release of the football schedule through the deadline date set by the Colonnade Club business office.
c. On the first business day following the submission deadline, the office staff will draw names at random for each weekend.
d. Those members who enter the lottery but are not selected for a room will be placed on a waiting list in the order they were chosen.
e. Please read the section on Cancellation Policies.

Wedding Parties
1. Wedding parties may reserve up to six overnight rooms one year in advance.
2. During graduation weekend, football weekends, and Family Weekend, rooms are held for members under the lottery system. Wedding parties may be added to the waitlist.

Cancellation Policies
A non-refundable 50% deposit is required for Family and Football Weekend guestrooms. To avoid fees, cancellations for Family Weekend and Football Weekend room reservations must be made 10 business days prior to the date of arrival. Please note that a 50% cancellation fee will apply to any night that is cancelled after the specified period. For Graduation, 100% of the reservation cost is due when the reservation is made. 50% of the reservation cost will be refunded if the reservation is cancelled more than 60 days prior to Graduation Weekend. There will be no refund if rooms are cancelled within 60 days of Graduation.

Blocks of guest rooms (four or more rooms) may be reserved for weddings-related events. Cancellation of an entire block of rooms must be made two weeks prior to the date of arrival. Cancellations for individual rooms within a block must be made two business days prior to the date of arrival. Please note that a 50% cancellation fee will apply to any night that is cancelled after the specified period.

Non-special event periods require that all cancellations be made two business days prior to the date of arrival to avoid cancellation fees. When cancellation is not made two business days prior to arrival, the cancellation fee will be 50% of the total cost of the reservation.

Reservations that are not honored or cancelled by the member/guest are considered no-show and the credit card on the reservation form will be charged the full cost of the reservation.
